Adding Contacts in WooChat

WooChat makes it easy to manage your customer contacts, whether you want to add a single contact or import a large list of contacts. Here’s how you can efficiently create and manage contacts in WooChat.


Creating Contacts

1. Single Contact Creation

  • Step 1: Click on the "Add New" button.

  • Step 2: A window will open where you can enter the contact details such as Name, Phone, Email, Tags, and other relevant information.

  • Step 3: Once you’ve filled in the details, save the contact to add it to your WooChat database.

2. Bulk Contact Import

  • Step 1: Click on "Import" and then select "Import File."

  • Step 2: Download the "sample file" provided as a reference for formatting your contact list.

  • Step 3: Format your contact data according to the sample file and upload it to WooChat.

  • Step 4: After uploading, rename the import file and choose the import type as "Add New Contacts."

  • Step 5: The marketing opt-in option will be set to "Yes" by default. You can also add contact tags during the bulk import process.

  • Step 6: Map the contact fields from your file to the corresponding fields in WooChat. If any fields are missing, you can create them at this stage.

  • Step 7: Click on "Confirm" to finalize the import. Your contacts will be uploaded and added to WooChat.

Auto-Saving Customer Details

  • WooChat automatically saves a customer's mobile number and name when they initiate a chat. This auto-saving feature helps in keeping your contact list up-to-date without manual entry.

Assigning Contacts to Owners

  • When the contact owner is updated, any new conversations from that contact will be automatically assigned to the updated owner and appear in their "Mine" bucket.

Handling Contacts Without Names

  • If a contact is uploaded without an associated name, WooChat assigns the contact as “Guest.”

Contact Creation Date

  • After adding a contact to your WooChat account, you can view the exact date they were added by checking the contact details in the main list view. This date is not displayed within the individual contact details but is available in the broader contact list.


These tools and features ensure you can efficiently manage and organize your contacts in WooChat, keeping your customer data current and accessible.
